Manage shared and personal workflows

Learn how to use folders to control who on your team can see and edit your workflows.


How workflow sharing works

Workflows and other data in Conduitly are organized into folders. Sharing is controlled at the folder level. You set who can access a folder and what they can do, and those permissions apply to all workflows inside it.

There are two folder types:

  • Private: visible only to you. Workflows in a private folder are not accessible to other team members.
  • Shared: visible to the team members you specify, with the permission level you choose.

Permission levels for shared folders

When you create a shared folder, you choose one of three permission levels:

View Only: Team members can see the workflows in the folder but cannot edit them. Use this for workflows you want others to monitor or reference without the risk of accidental changes.

Editable without account sharing: Team members can edit workflow logic, like triggers, actions, and field mappings, but cannot access or reuse the connected app credentials. Use this when you want collaboration on workflow configuration but need to keep authentication credentials controlled.

Editable with account sharing: Team members can edit workflows and use the connected app accounts associated with them. Use this for fully collaborative workflows where the team needs to be able to build and modify the full configuration.


Create a private folder

1. Go to Folders in the sidebar

Click Folders in the sidebar.

2. Click + Create new folder

Click the blue + Create new folder button.

3. Set the folder type to Private

In the Create New Folder modal, enter a Folder Name, set Folder Type to Private, and click Save.

Workflows you assign to this folder will only be visible to you.


Create a shared folder

1. Go to Folders in the sidebar

Click Folders in the sidebar.

2. Click + Create new folder

Click the blue + Create new folder button.

3. Set the folder type to Shared

In the Create New Folder modal, enter a Folder Name and set Folder Type to Shared. Additional fields appear.

4. Add team members

In the Users field, type to search for and select the team members who should have access. Each selected user appears as a name token in the field.

5. Set the permission level

Under Sharing Permission, choose the appropriate level: View Only, Editable without account sharing, or Editable with account sharing.

6. Click Save

The folder is created and the selected team members can now access it according to the permission level you chose.


Assign a workflow to a folder

When building or editing a workflow, use the Folder control in the top toolbar of the workflow builder to assign it to a folder. You can reassign a workflow to a different folder at any time by editing it and updating the Folder field.


Change folder permissions

To update who has access to a folder or change the permission level:

  1. Go to Folders in the sidebar.
  2. Find the folder and click Edit.
  3. Update the Users field or Sharing Permission as needed and click Save.

What to expect

Team members with access to a shared folder will see it listed in their sidebar under Folders. Workflows inside the folder appear according to the permission level. View-only members see the workflows but cannot open the builder to make changes; editable members can open and modify workflows as configured.
