Edit or update an existing workflow

Learn how to open a published workflow and make changes, updating a field mapping, adding a new action step, renaming the workflow, or adjusting its schedule.

Before you begin

Before you start, make sure you have:

  • At least one published workflow in your account
  • The credentials for any new app you plan to add (if adding a new action step)

How editing works

Opening a published workflow takes you back into the same workflow builder you used to create it. You can change any part of the configuration: the trigger, any action step, field mappings, schedule, or workflow name, and republish when you're done.

The workflow continues running as normal while you're editing it. Changes only take effect once you republish.

Step 1: Open the workflow

From the Home page, find the workflow you want to edit in the Your Workflows section. Click the workflow name. This opens the workflow in the builder.

You can also navigate to your full list of workflows from the sidebar: click the Workflows tabthen the Workflows link.

Step 2: Make your changes

Once the workflow is open in the builder, edit any part of it as needed. Common edits and where to find them:

Rename the workflow Click the workflow title field in the top toolbar and type a new name.

Change a trigger or action app Click the relevant node on the canvas to open the configuration panel. In the Setup tab, click Change next to the Integration App field and select a different app.

Update field mappings Click the action node, navigate to the Mapping tab, and update the fields you want to change. Use the blue + button to open the Choose Data picker and select a different source field, or click directly into the Enter data... input to update a fixed value.

Add a new action step Click the + button below the last node on the canvas to add a new action. Configure it the same way you would when building a workflow from scratch. See Connect an app to your workflow and Map fields between your apps for reference.

Remove an action step Click the × button on the node you want to remove. This deletes the step from the workflow immediately.

Adjust the schedule Click the trigger node, navigate to the Schedule tab, and update the interval setting. Click Save → before moving on.

Rename or reassign to a folder Use the Folder control in the top toolbar to assign the workflow to a different folder, or update the name in the title field.

Deactivate or reactivate the workflow Click the settings icon in the top toolbar and toggle Workflow Status between active and inactive.

Step 3: Republish

When you've finished making changes, click the blue Publish button in the top-right corner of the toolbar. The updated workflow publishes immediately and your changes take effect from that point forward.

If you're working in the Basic Designer, click Save & Publish in the bottom-right corner instead.

Note: Publishing an edited workflow does not reset its run history. Previous runs remain visible in Workflows → Activities.

What to expect next

Your updated workflow is now live with the new configuration. If you changed field mappings or added a new action step, verify the next run in Workflows → Activities to confirm data is flowing as expected.

  • Publishing and activating a workflow
  • Mapping fields between systems
  • Testing a workflow before publishing
  • Workflow run history and logs
